Hello - 

It is our hope that our students and their families worked to make the best of our first week of virtual instruction. As staff members of HHS, we know first hand the commitment of our teachers here on the HHS campus and have full confidence in their dedication towards bettering their instruction for our students during these next few weeks. As a team of directors we will continue to put together material and plans that will help keep our students playing and engaged in the music learning process. 

We also wanted to offer a few words of encouragement to both our students and their families. We understand that there are many unknowns moving forward into this school year. This can be discouraging and may even harness ones personal drive or optimism moving forward. With that said, we want to challenge our students to keep their spirits up and invest in optimism as we move further into the school year. One thing we do know is that we have the wonderful opportunity to continue doing what we love and have a really tremendous opportunity to have a memorable and historic year for the Hays Band program. 

As a staff, we are excited for the opportunities presented for our students this year and will continue to work hard to set our students up for success regardless of circumstance. We can't say this enough, but now more than ever we have to all commit to excellence to help ensure a unique but memorable year #movingforward. 
COVID RESPONSE:

We hope you are having a relaxing weekend and are able to enjoy the sunny weather!

Mr. Pierce sent out an email yesterday about a student testing positive for Covid-19.  I want to let you know that this student is NOT a band student and has not been involved in any of our Band rehearsals before or after school.

We ask that you continue to fill out the health screening form every day for rehearsals and continue to self monitor for any symptoms.

WEEKLY SCHEDULE:
Please note that all "full band rehearsals" are only for those students who have opted to march in this years marching show. Attendance will be taken at these rehearsal and will be reflected in the students daily "rehearsal etiquette" grade. Students will continue following all safety protocols established during the summer band camp including filling out the daily health screen prior to coming to campus.

PICK-UP / DROP-OFF:
Thank you for your continued patience and flexibility with our drop-off and pick-up locations. This past week we followed the directions that were given to us by our admin team in terms of how students should be dropped off and picked up from campus. After this week of rehearsals we were able to communicate with admin and compromise on a plan that will hopefully be more user friendly for our band and color guard parents. We do ask that you assist us in following these procedures to help make things run smoothly! 

Drop-Off:
Due to the fact that not many busses or students are on campus as early as our morning rehearsals, parents will be permitted to drop their students off in the senior parking lot in front of Joe Graham Gym. This is the same parking lot that parents dropped their students off during summer band. Parents are being asked to enter through Bales parking lot and circle around bales Gym and the Athletics building. This is the exact same traffic pattern that was used for the S.O.S days.

Pick-Up:
Students are able to be picked up in the senior parking lot as well, however admin is asking that those parents who are picking up their students in the senior parking please follow the designated traffic flow outlined by our admin. Parents are being asked to enter through Bales parking lot and circle around bales Gym and the Athletics building. This is the exact same traffic pattern that was used for the S.O.S days. Once parents circle around the athletics building and enter the senior parking lot, parents are being asked to please park in a parking spot as they pick-up their student. This will prevent congestion in the lot and allow the school busses to circulate without interruption. This may be hard to understand through reading but there will be administrative staff on hand each morning to help guide you once you enter the Bales parking lot. 


AT NO POINT SHOULD A BAND STUDENT BE DROPPED OFF OR PICKED UP USING THE BAND PRACTICE FIELD LOT. 

 

MARCHING BAND ATTENDANCE:
The band competes and performs as a unit. If individuals are not present at rehearsals or performances, the entire group is affected. With that said, marching band attendance will officially go into effect this week. Students who are late or who miss a marching rehearsal without proper excuse will have their rehearsal etiquette grades deducted per the policy outlined below. We will begin sending emails and potentially begin making phone calls home for those students who are consistently late or absent from marching rehearsals. 

An excused absence will only be granted with prior notification in writing via the bands ABSENCE REQUEST FORM. Emergencies require a phone call as soon as possible. ​The number to Mr. Rauschuber is: 512-268-2911 x46227.​ Parents or students need to leave a voicemail message if there is no answer. Please note that this number is only accessed through school hours. In the event of an emergency absence, the student should bring written documentation upon his/her return to school in order for an absence to be excused.

Students that are absent from school must email/call the band director BEFORE the end of the school day in order to be excused from an after-school practice or performance. Acceptable excused absences are as follows: severe personal illness, death in the family, school related performances, or a “once in a lifetime event.” Absences that a student wishes to be considered as a “once in a lifetime event” must be submitted at least 2 weeks in advance of the projected absence. Absences from a contest must be requested at least 30 days in advance.

The Director of Bands will make the decision whether or not to excuse the absence in a case-by-case manner. Work, dentist appointments (non-serious nature), orthodontist appointments, outside-of-school organizational activities, club meetings (school or otherwise), and non-serious family member illnesses will not be excused and will result in the proper grade reduction. Dental emergencies (ie. severe toothache, tooth knocked out, abscess, etc.) will be covered by the “severe personal illness” excuse. If a student is found to have an attendance problem, regardless of the nature, the student may be excluded from special activities or removed from band. There are additional grade penalties for those students who are either late or who miss a required rehearsal, performance or event. Please see the grading policy below:


GRADE REDUCTIONS & CONSEQUENCES:
The following grading penalties will be enforced for all marching rehearsals/performances:
 
If a student is tardy to a band rehearsal or performance:
A 10 point reduction of the students daily rehearsal grade will be assessed. Should a student be excessively tardy, a phone call will be made home and a possible parent-teacher conference may be scheduled. The student will also jeopardize their performance spot as well as their membership in the overall program. It should be noted that if a student is not 100% ready to start a rehearsal or performance, they are considered tardy. 
 
If a student is absent to a band rehearsal:
A student will receive a ZERO for their daily rehearsal grade and will receive a phone call home. The student will also jeopardize their performance spot as well as their membership in the overall program. 
 
If a student is absent to a band performance:
A student will receive a ZERO as a MAJOR grade. Receiving a zero as a major grade can potentially fail a student in band causing them to be academically ineligible. Students who are absent from a performance will receive a call home as well as a conference with a band director. The student will also jeopardize their performance spot as well as their membership in the overall program. 

We can not express it strongly enough just how critical attendance is for band rehearsals and performances. Again, directors are flexible and accommodating to many situations. Communication is key to allowing us to better help you! 


**Note that if we advance into the play-offs, students are expected to be at all play-off games at the end of the regular season. If a student misses a play-off game, his/her grade will be adversely affected.

I hope this finds you all alive and well after our first week of back-to-school-virtual-learning! 
 
Below are some important dates/deadlines:
Eat to Support Hays Band @ Arby’s in Kyle – All day long in the Drive Thru on Wednesday September 16th. Important: You MUST let them know you are there to support the Hays Band when you place your order!
 
Spirit Item Pick up:
Items you have ordered (spirit items AND booster membership items) will be available for pick up on Monday, September 21st at the High School during & immediately following band rehearsal; boosters will have table set up on the sidewalk by Joe Graham Gym from 6pm – 9pm; parents can pick up items at any time that night OR your student can pick them up after rehearsal.
 
Football Game Meal Plan: 
The deadline to order the 4 home game meal plan is midnight Tuesday, September 22nd; this is online order ONLY (We will not accept orders after this deadline date.)

Many of our typical fundraising opportunities are not possible this year, but the executive board is busy working on current AND future fundraisers so please help where you can!   Our BIG fundraiser at this moment is the Hays Bands Cookbook!  WE NEED RECIPES…to date, we only have ONE submission!  Please share this info with family and friends so we can fill it up. (deadline for these submissions is September 25th) We are also offering opportunities for business, families and friends to buy AD space in the cookbook.  We will continue to share this on social media so please forward to all those you think would be willing to take part in this fundraiser. FOR ANY QUESTIONS REGARDING THE COOKBOOK, PLEASE CONTACT LENA LLABRES:

Moving Forward

Marching Rehearsal Starting September 28th:
The schedule below will be implemented starting on September 28th. Please note that the decision to host after school rehearsals is in relation to multiple factors, some of which include the availability of rehearsal space as well as the transportation needs of our at-home learners opting to participate in marching band. These rehearsals will be added to the official band calendar. 

Monday's - 5:30-8:00pm
Tuesday's - 5:30 - 7:00pm
Wednesday's - OFF
Thursday's - 5:30-7:30pm
Friday's - No Rehearsal
