AIDE Updates

September 15th, 2021

Message from The Associate Dean

Hi Everyone,

Well, we’ve survived another start of the semester! I hope that everyone had a good start and that your classes are going well. Our team has been busy ensuring that students can access all of their Moodle shells and WebEx accounts.

One of the most common questions we get in AIDE is, “how do I get to my class?” These times can get very confusing as students are taking classes in multiple modalities: Hybrid Synchronous, Remote Synchronous, or Web. One of the best ways we have found to help students is to post your syllabus and class meeting information in Moodle. Students are used to going to Moodle to look for class information and are disappointed when nothing is posted. Even if you aren’t planning on using Moodle, AIDE is happy to post this information in your course shell for you; send your syllabus to

I encourage you to read our newsletter for important updates on Moodle, Panopto, Digication, and OER. As always, if you have any questions or need additional assistance, you can email us at or stop by our virtual office

Happy Fall!!

Panopto and TechSmith Update

  • TechSmith will discontinue access to your TechSmith site from 10/15/2021. Therefore, the links to your Techsmith videos will no longer be active or accessible from the date mentioned earlier .
  • Migration of videos from TechSmith to Panopto is complete.
  • Closed caption import is complete and is now available on your migrated videos from TechSmith.
  • Do not link your TechSmith videos into your Fall Moodle courses. Please be aware when you are importing course material into your Fall sections that you should replace your TechSmith videos with the Panopto videos. Here are a few ways to add your Panopto videos into your Moodle course:
  • If you have IP’s that extend past the 10/15/2021 TechSmith cutoff date, you will need to update the links in those Moodle courses as well. Either that or email students the links to the updated Panopto videos individually.
If you would like support with this, our team would be happy to support you via email or by virtual drop-in

Course Accesses and Visibility

Moodle courses are created for all BHCC courses.

Access to Course:

  • Most Fall Moodle Course Shells are now available in Moodle. View our Moodle Dashboard Resources to learn more.

  • Students can access their course on the first official day of class. The “First Day” is determined by the course start date listed in the Student Information System, Colleague.

Check Start Date of Course:

  • Faculty can check the start date in the Self-Service “Course Description.”

Visibility of Course:

  • Faculty can make their Moodle courses visible to students before the first day. Learn how to “Show your course site” early.

Preparing Students for the First day of Class:

There are many ways you may choose to teach in this "remote" world that we find ourselves in. A key thing to consider is how we notify our students "what to do or where to go on the first day of class." While emailing students can be effective, we also welcome you to post "first day of class" information on Moodle. Here is our resource on how to post first day of class information. Our team would also be happy to do this on your behalf. Simply email your "first day of class" information along with your syllabus to and we'll post it in your Moodle course.

Extend Moodle Access past its' official end date

If you need a course site to remain available - because you have students completing an IP or for any other reason, you can send the AIDE team an email and request extended access for your student(s). Learn how to Request an IP For Students.

Webinars offered by AIDE partners

Many of our vendors offer introductory and advanced webinars about their products.  Explore the links below to learn more about each product.  These are unpaid professional development opportunities.

Getting Started with WebEx

WebEx is a synchronous meeting tool, like Zoom, that allows faculty to host virtual classes, meetings, and informational sessions. You can share your screen to present files, videos, or other media. You can record, save, and share the meeting with others. Every BHCC faculty, staff, and student has their own WebEx account where they can create Scheduled Meetings or use their Personal Room to host meetings. Learn more or get started by visiting our WebEx for Faculty & Staff page in our AIDE Resources ePortfolio. You are also welcome to either drop into the AIDE Virtual innovation lab or schedule an appointment with our team to learn how to schedule your meetings.

Did you know you can integrate your WebEx Meetings into your Moodle courses?

The WebEx Education Connector allows BHCC Faculty & Staff to seamlessly integrate Webex virtual meetings, office hours and Teams messaging into their Moodle courses. It is an efficient and convenient way to use various WebEx tools without having to add student emails to an invitation list, or requiring them to actively "go" to different sites. Learn more about the integration.

Q: I can't find the Breakout session for my class meetings set up through the WebEx connector?
A: Breakouts need to be added manually to WebEx connector sessions.

Q: I get the error message, "Your WebEx authorization has expired. Please reauthorize WebEx ", when I try to create my class meetings using the WebEx Connector in Moodle?
A: Please go to your WebEx Connector, sign out of the application, and sign back in to fix the issue.

Q: Why do my students get the access denied error message when joining my class?

A: Students can only join Remote WebEx class sessions as a guest. They will not be able to join if they are "sign-in" or "login."

If you require students to host their WebEx meeting sessions, students can sign in through and not to compose their meetings.

Did you know you can access most BHCC apps from the Onelogin Portal?

That's right, you can access your Moodle (Referred to as Moonami), Digication ePortfolio, Panopto, and WebEx accounts all from one place. The BHCC Onelogin Portal is a great link to bookmark in your browser. Access the portal now:
